At Coastal Backwoods Hat Company, we are proud to offer NO SETUP FEES for artwork preparation when you order hats or other products from us.
Customers may provide logos and artwork in common formats such as JPG, JPEG, PNG, PDF, SVG, or other available file types. Depending on the quality and format of the artwork provided, we may need to clean up, recreate, vectorize, digitize, convert, resize, simplify, or otherwise prepare the artwork so it can be properly used with our laser engraving and production equipment.
Your Original Logo Remains Yours
Customers retain ownership of the original logos, trademarks, artwork, and branding they provide to Coastal Backwoods Hat Company.
We do not claim ownership of your original business logo or branding simply because you send it to us for an order.
Complimentary Artwork Preparation
When artwork preparation is required to produce your order, Coastal Backwoods Hat Company performs that setup work at no additional charge.
This complimentary artwork preparation is provided specifically for the purpose of producing products purchased through Coastal Backwoods Hat Company.
The time and work required to prepare a logo for production may include:
- Cleaning up low-resolution artwork
- Recreating portions of a logo
- Vectorizing raster artwork such as JPG or PNG files
- Converting artwork into engraving-ready formats
- Simplifying artwork for proper laser engraving
- Adjusting line weights, spacing, and detail
- Preparing files specifically for our production equipment
Because this work is provided at no charge as part of our production service, the resulting production-ready file is not automatically included with the purchase of a hat or other product.
Production Files Created by Coastal Backwoods Hat Company
Any vectorized, digitized, laser-ready, engraving-ready, recreated, cleaned-up, converted, or otherwise production-ready artwork created by Coastal Backwoods Hat Company is considered a production file.
These production files are maintained by Coastal Backwoods Hat Company for use on current and future orders placed with us.
Purchasing a product from Coastal Backwoods Hat Company does not automatically include the transfer or delivery of these production files.
Production File Release
Customers who would like a copy of a production-ready file created by Coastal Backwoods Hat Company may purchase a Production File Release.
Our standard Production File Release Fee is $50 per logo/design.
Once the applicable release fee has been paid, we will provide the agreed-upon production-ready file in an available format appropriate for that artwork.
For unusually complex artwork requiring extensive recreation or design work, an additional fee may apply. Any additional charge will be communicated before the file is released.
Why We Charge a File Release Fee
We intentionally do not charge our customers a setup fee when ordering products from us.
However, preparing a customer-supplied JPG, PNG, PDF, or other file for professional production can require significant time, specialized software, equipment knowledge, and design work.
Our complimentary setup service is intended to make ordering from Coastal Backwoods Hat Company easier — not to provide free production artwork that can then be supplied to another manufacturer.
The Production File Release Fee allows us to continue offering NO SETUP FEES on orders while protecting the time and work invested in preparing professional production-ready artwork.
Future Orders
Production-ready artwork created for your order will generally be kept on file for future Coastal Backwoods Hat Company orders.
This means that when you come back to reorder hats using the same approved artwork, we can normally use the production file already on file without requiring the artwork to be prepared again.
Proofs Are Not Production Files
Any digital mockup, artwork proof, placement proof, or other preview provided during the ordering process is intended only for reviewing and approving your order.
Receiving a proof or mockup does not constitute delivery or transfer of the underlying vector, engraving-ready, laser-ready, or production file.
Unauthorized Distribution
Production files created by Coastal Backwoods Hat Company may not be copied, transferred, distributed, reproduced, or provided to another manufacturer, decorator, engraver, printer, hat company, or production vendor unless the applicable Production File Release Fee has been paid and the file has been released by Coastal Backwoods Hat Company.
Policy Acknowledgment
By submitting artwork and placing an order with Coastal Backwoods Hat Company, the customer acknowledges and agrees to this Artwork, Setup & Production File Policy.
Your logo is yours. Our complimentary production preparation allows us to manufacture your products without charging you a setup fee. If you would like to take the production-ready file with you for use elsewhere, it is available for purchase through our Production File Release.
